Sample Responsibilities
- Perform general bookkeeping - accounts payable, accounts receivable, invoicing, payroll processing, expense reports, generating financial reports
- Coordinate and book travel and conferences
- Track and manage open "to do" items, remind team members of pending or past due dates
- Organize documents and resources on internal website
- Manage contact database
- Manage executive schedule - calls, meetings, team schedule overview (vacations, etc), outstanding items
- Research and recommend products, services, and events
- Proofreading and copy editing
- Coordinate with legal on contracts and other documents
- Review industry news and highlight relevant items to appropriate team members
- Order and track company supplies, services, and equipment
- Plan and send holiday gifts
- Organize, coordinate and cater company events
- Provide general administrative HR and recruiting support
Required Skills
- Can-do attitude, desire to learn, and ability to self-direct are key!
- Excellent communication skills, both written and oral. Must communicate effectively with internal staff and executive-level clients.
- Highly organized and able to multi-task
- Good sense of confidentiality and professionalism
- Creative thinker
- Ability to work in an extremely fast-paced and flexible environment
- Strong computer skills. Intermediate knowledge of Microsoft Word and PowerPoint. General skills in Excel and Adobe Acrobat.
- Strong internet skills, including online research and email management.
Other Desired (but not necessary) Experience
- Follower of GTD (Getting Things Done)
- Experience working with a virtual team
- Familiarity with Adobe Photoshop, Unfuddle, Freshbooks, Quickbooks, and/or IRC
- Familiarity with Google Apps, FTP, and/or website CMS's
- Prior creation or management of electronic document/resource organizational systems
While the position is virtual, ideal candidates will be within a day trip of New York City for occasional face-to-face meetings and events. The salary is competitive and includes health insurance, vacation, and paid sick/personal time. Resources are available for ongoing professional development, which is encouraged.
